Work Arrangement: This is a full-time position working in our office located in Williamsville, NY.
Professional Responsibilities:
- Serve as the first point of contact for incoming calls and visitors, ensuring a professional and welcoming client experience
- Manage and distribute daily mail and correspondence with accuracy and timeliness
- Maintain and monitor recurring reports, ensuring data integrity and proper routing to internal stakeholders
- Coordinate scheduling across leadership and team members, managing calendars, meetings, and logistics
- Support office operations including purchasing, vendor coordination, and supply management
- Maintain organized records, files, and documentation in accordance with company standards
- Provide administrative support to leadership and team members to ensure efficient daily operations
- Identify opportunities to improve administrative workflows and implement process efficiencies
- Uphold confidentiality and discretion in handling sensitive client and company information
Qualifications and Requirements:
- 1–2 years of administrative, clerical, or office support experience preferred
- Demonstrated commitment to delivering a high-quality client and colleague experience
- Strong attention to detail with the ability to manage multiple priorities simultaneously
- Ability to operate effectively in a fast-paced, deadline-driven environment
- Strong organizational and time management skills
- Clear and professional written and verbal communication skills
- Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel
- Ability to learn new systems and internal processes quickly
- Professional demeanor with the ability to build effective working relationships across teams
- High level of integrity and discretion when handling confidential information

Pay Range: $20–$22 per hour
Any job offer is based upon a salary analysis to comply with the required state pay transparency law. The salary analysis considers relevant experience, education, certifications, and seniority as compared to others doing substantially similar work. There is no guarantee an offer will be at the top of the posted range based on the salary analysis.
