Role Overview

The OE Change & Adoption Specialist is instrumental in ensuring that operational excellence initiatives deliver lasting and measurable outcomes by delivering toolkits to leaders on changes implemented, ensuring adoption and sustainability. This position is dedicated to promoting stakeholder engagement, organizational readiness, and ongoing behavioral reinforcement for OE projects throughout the organization.

Working collaboratively with OE leadership, process owners, technology teams, trainers, and frontline personnel, this specialist develops and implements change management strategies that facilitate comprehensive understanding, adoption, and sustainment of new processes, tools, and operating models.

Success will be measured by the sustainability of changes implemented and the ability for leaders to ensure ongoing local training and adoption-to-changes implementation.

COMPENSATION: $95,000 - $105,000/annually in addition to a competitive bonus plan

Responsibilities

  • Develop and execute structured change management plans for OE initiatives, including process redesign, technology implementations, and organizational changes.
  • Assess change impact, readiness, and risk across impacted teams and functions.
  • Identify stakeholder groups and tailor engagement strategies based on role, influence, and readiness level.
  • Design adoption plans that include training reinforcement, communication, feedback loops, and performance monitoring.
  • Partner with OE and functional leaders to define adoption success metrics (e.g., usage, compliance, efficiency, quality).
  • Support post-implementation sustainment through reinforcement plans, coaching, and continuous improvement feedback.
  • Act as a trusted partner to leaders, managers, and frontline teams during periods of change.
  • Facilitate workshops, working sessions, and feedback forums to surface concerns, clarify expectations, and build buy-in.
  • Translate complex OE or technical concepts into clear, practical messaging for operational teams.
  • Create change communications (talking points, FAQs, readiness updates, leadership messages).
  • Partner with training teams to ensure learning materials align with new workflows and behavioral expectations.
  • Creates toolkits for leaders and managers to enable effective coaching and reinforcement.
  • Embed change and adoption best practices into OE governance, charters, and project lifecycles.
  • Capture lessons learned and adoption risks to inform future OE initiatives.
  • Serve as a connector between OE, technology, and operations to ensure changes are practical and sustainable to ensure long-term adoption.

Required

SKILLS & EXPERIENCE

  • Bachelor’s degree in Business, Organizational Development, Healthcare Administration, or related field (4 years of additional highly relevant experience may be considered in lieu of the degree.)
  • 5+ years of experience in change management, operational transformation, or process improvement.
  • Experience supporting large-scale operational or technology change initiatives.
  • Strong stakeholder management, facilitation, and communication skills.
  • Demonstrated ability to influence without authority across cross-functional teams.

Preferred

  • Healthcare, behavioral health, or revenue cycle experience.
  • Familiarity with Lean, Six Sigma, or OE methodologies (DMAIC, Kaizen, process mapping).
  • Change management certification or formal training (Prosci, ACMP, Kotter, or similar).
  • Experience supporting EHR, billing, or automation initiatives.

Working Conditions

  • This role is primarily performed in a remote setting, requiring reliable internet access and a quiet, distraction-free, dedicated HIPAA (Health Insurance Portability and Accountability Act) compliant workspace. Work involves extended periods of sitting, frequent use of a computer and audio/video calls and meetings.
