We are looking for a Policy Coordinator to join our growing team! The Policy Coordinator supports the administration of medical stop-loss policies within a Managing General Underwriter (MGU) environment, where responsibilities are performed on behalf of carrier partners under delegated authority. This role focuses on executing administrative and documentation-related tasks with a high degree of accuracy while working under the direction of the Policy Manager.
The position is responsible for assisting with policy issuance, validating documentation, and maintaining organized, audit-ready records. The Policy Coordinator is expected to identify and escalate discrepancies, support process workflows, and develop a strong understanding of stop-loss policy structure over time.
Key Responsibilities:
Policy Administration & Documentation
- Assist in the preparation, review, and distribution of policies, endorsements, and supporting documentation
- Review policy documents for accuracy, completeness, and consistency with approved terms and system records
- Maintain organized, audit-ready file structures, including standardized naming conventions
- Ensure documentation aligns with company standards, carrier guidelines, and audit requirements
- Identify discrepancies or inconsistencies in policy documentation and escalate to the Policy Manager
- Support updates and corrections to policy documentation as directed
Underwriting Validation & Operational Support
- Retrieve and review sold case documentation, including proposals and underwriting summaries
- Assist in validating key elements such as rates, contract terms, and provisions against approved underwriting terms
- Compare documentation against system records to help ensure consistency and accuracy
- Escalate discrepancies between sold documentation and system data to the Policy Manager
- Support maintenance of accurate data within internal systems
Licensing & Regulatory Support
- Support the producer appointment process with carrier partners
- Assist in verifying that producers and TPAs are properly licensed and appointed prior to policy placement or commission payments
- Maintain accurate licensing and appointment records, including renewal tracking
- Follow up on pending items to help prevent delays in policy issuance or payment processing
Qualifications:
- Proficiency in Microsoft Excel, Word, and PDF editing
- Strong attention to detail and organizational skills
- Strong attention to detail with a focus on accuracy
- Developing knowledge of medical stop-loss policy structure and terminology
- Strong organizational and document management skills
- Ability to identify discrepancies and escalate appropriately
- Ability to work independently on assigned tasks while following established processes and seeking guidance when needed
- Strong collaboration skills across underwriting, finance, and operations teams
- Willingness to learn and adapt within a structured environment

The candidate must be local to the Beverly, Massachusetts area, as this role is required to be in the office five days per week upon hire. After three months of employment, there is potential for a hybrid schedule, at management’s discretion, with no less than three days in the office per week.
