Objective of Position

We are looking for a part time Office Manager to organize and coordinate administration duties and office procedures in our Paris office. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication (internal and with the US headquarters) and safety.


Front desk management including answering phones, greeting visitors and day to day office requests
Organizing the office layout and ordering stationery and equipment
Maintaining the office condition and arranging necessary repairs
Manage inbound/outbound shipping needs and mail distribution
Coordinate and schedule office meetings
Coordinate with HR in San Francisco to organize off-site activities, celebrations, conferences
General admin support
Facilities and building management liaison
Organize travel and lodging arrangements for visitors coming to the Paris Office
Schedule interviews for candidates
Assist with new employee onboarding process
Partner with HR Manager in San Francisco to update and maintain office policies as necessar
Liaise with Accounting team in San Francisco to ensure that all items are invoiced and paid on time
Coordinate with IT department on all office equipment maintenance and purchases

Proven experience as an Office Manager, Front Office Manager or Admin Assistant
Calm, patient, and professional demeanor
Professional-level knowledge of Pack Office (Outlook, Excel, Powerpoint)
Excellent verbal and written communications skills (both in English and French)
Attention to detail and problem solving skills
Highly motivated with a positive, can-do attitude
A creative mind with an ability to suggest improvements
